This Privacy Policy explains how OTS Media LLC ("we") handles information in Own The Shift — Frontline Coach. Questions: hello@otsowntheshift.com.
Account information: your email address and authentication data, handled by our auth provider, Supabase (and Google, if you use Google sign-in).
Profile information: optional details such as your name, role, and organization name.
Session content: the inputs you enter into each tool and the outputs generated — including practice roleplay transcripts — timestamped and linked to your account. This may include information you enter about other people.
Derived content: synthesized summaries of your practice patterns used to tailor coaching. Abuse/quality reports you submit. Basic technical and log data needed to run and secure the Service.
Voice: if you use the microphone to dictate instead of typing, your speech is converted to text by your own browser or device. We do not record, receive, or store audio — we receive only the resulting text, which is then handled exactly like text you typed.
To operate the Service: generate coaching responses, keep your session history so context carries across visits, produce your practice-pattern feedback, and provide support.
To protect the Service: review flagged content and investigate abuse, security, or misuse. We do not use your content to train AI models, and we do not sell your information.
If you report a problem with a response, we review it within three business days and act on it — correcting the behaviour, changing the underlying instructions, or removing content. Reports about safety or someone's wellbeing are looked at the same day. You can also reach us directly at hello@otsowntheshift.com.
Before anything you write or say leaves your device, the app asks your permission and names every service it goes to. Nothing is sent until you agree, and you can withdraw that permission at any time under Tools, Data and privacy — after which the coaching tools stop working, because they cannot run without it.
Your inputs are sent to Anthropic's Claude API to generate responses. Anthropic processes this data under its commercial/API terms and does not use API inputs or outputs to train its models. We send only what's needed to produce your result.
Read-aloud (optional): when this is on, the practice counterpart's generated reply is sent as text to OpenAI's API to be turned into speech. The audio is played to you and is not stored by us. OpenAI processes it under its API terms, and we have not enabled OpenAI's optional data-sharing program, so this content is not used to train OpenAI's models. Your own words are not sent to OpenAI — only the reply you are about to hear.
Dictation (optional): speech-to-text is performed by the speech service built into your browser or operating system, not by us. Depending on your device that vendor may be Apple (Safari and iOS) or Google (Chrome), and the audio is handled under their terms. Your device will ask for microphone permission; you can decline or revoke it at any time and keep typing instead.
Both voice features are off when you first use the app. Read-aloud switches on the first time you use dictation, and either can be turned off at any time from the practice screen.
Account and session data is stored in Supabase (hosted PostgreSQL) on infrastructure located in Canada. If you use the Service from another country, your information will be transferred to and processed in Canada and the United States, which may have different data-protection laws than where you live.
Access is restricted by database policy so that you can only read your own session history — other users cannot, and managers do not automatically get access to content created by other people. Broader access is limited to what's needed for abuse review, support, and running the Service.
We share data only with the providers needed to operate Frontline Coach — Anthropic (AI), OpenAI (speech synthesis, only when read-aloud is on), Supabase (storage/auth), Netlify (hosting), and Google (optional sign-in on the web) — and when required by law or to address fraud, safety, or security.
Each of those providers is bound by a written agreement that requires them to protect your information to the same or an equivalent standard as this policy, to process it only on our instructions and only for the purpose we engaged them for, not to use it for their own purposes or to train their models, and to keep it secure. We do not share your information with anyone who does not meet that standard.
Because coaching often involves employees or coworkers, you may enter information about people who are not users of the Service. You are responsible for having the right to enter that information. We ask you to minimize it and avoid sensitive details. If someone believes their information was entered improperly, they can contact us at hello@otsowntheshift.com.
We keep your account and session data until you delete it or ask us to delete your account, except for limited copies needed for operations or required by law.
Be aware: the Service does not currently maintain independent backups. Data could be lost due to technical failure, and deletions are permanent. Do not rely on the Service as your system of record for anything you must retain.
You can request a copy of your data, ask us to correct it, or ask us to delete your account and associated data by contacting hello@otsowntheshift.com, subject to reasonable identity verification and any legal retention requirement.
Depending on where you live (for example California, Colorado, or Texas), you may have additional rights to access, delete, correct, or opt out of certain uses of your personal information. We do not sell your information or use it for targeted advertising. We honor recognized browser opt-out signals such as Global Privacy Control where applicable.
We use reasonable measures — encrypted transport and access-controlled database policies — to protect your information. No system is perfectly secure, and we can't guarantee absolute security. If a breach affects your information, we'll notify you as required by applicable law.
The Service is intended for adults in a workplace setting. It isn't directed to anyone under 18, and we don't knowingly collect information from anyone under 18. If you believe a minor has used the Service, contact hello@otsowntheshift.com and we'll address it.
